Confidentiality & security
What we do to protect client material, stated specifically enough to be checked.
This is a working draft prepared for launch. Have it reviewed by UAE-qualified counsel before you rely on it in a client contract.
01Written undertakings
Every linguist who touches a client file signs a written confidentiality undertaking before receiving it. This includes freelance and contracted linguists, not only employees. Client confidentiality obligations flow down to each individual.
02Encryption
Files are encrypted in transit and at rest. Deliverables are provided through access-controlled links rather than as open email attachments where the material warrants it.
03Access control and logging
Access is granted on a per-project basis to the linguists assigned to that project, and is removed when the project closes. Access is logged.
04Sensitivity tiers
We classify each engagement. At the highest tier no third-party automated tool touches the material at any point. You are told which tier applies before work begins.
05Automated tools
We disclose every tool used on your file. We do not submit confidential client material to services that retain content or use it for model training, and we do not use client documents to train any system of our own.
06Retention and deletion
We retain material for the period the engagement and our legal obligations require. You may request deletion at any time and we will confirm when it has been carried out.
07Sub-processors
We maintain a current list of the service providers involved in hosting and transmitting client material, and will provide it on request.
08Incidents
If we become aware of an incident affecting your material, we will tell you promptly, tell you what we know, and tell you what we are doing about it. We would rather report an incident that turns out to be minor than manage one quietly.
